Social functions are now permitted in the ICAO HQ Conference Centre. However, in light of the logistical challenges and current health and safety measures, catering services are limited to only two authorized catering services suppliers: La Petite Cloche and Traiteur La Plaza Catering. These caterers have been selected in line with the ICAO Procurement Code, their principles and ethical standards, and have facilitated access to ICAO conference assets and premises. The authorized caterers can accommodate the collection and service of traditional dishes prepared outside ICAO by an external caterer. Due to prevailing health and safety measures in force related to the COVID-19 pandemic, as well as sanitary challenges, buffets should be avoided, unless food is served by catering staff.
In line with Canada safety measures, the standing room capacity for the areas listed below are as follows (excluding tables, and including catering staff if applicable):
- 1st Floor Bistro and surrounding foyer: 100
- 1st Floor Foyer (outside the Roberto Kobeh Chamber): 250
- 3rd Floor Delegates Lounge (including elevator side): 330
- 4th Floor Foyer (outside the Assembly Hall, both sides of the bridge): 800
Taking into account the limited capacity, Delegations are encouraged to make advance arrangements in the external venue of their choice.
For the convenience of Delegations, the Secretary General provides this list of social functions surrounding the 41st Session of the Assembly hosted by Member States. This list comprises all social functions being held, of which his Office has been informed. In each case, the host will extend individual invitations to those Delegations invited, unless specified otherwise. secgen@icao.int). Considering the paperless format of the meeting, Delegations are encouraged to send digital invitations using the Electronic Mailboxes that will be set up for this purpose.
